This Privacy Policy describes how FIDES AI — the AI advisory unit of FIDES Sàrl, a Monaco partnership (together, "FIDES AI", "we", "us") — collects, processes and protects personal data in connection with the website fides-ai.com and related advisory services.
We act as data controller for personal data you provide via this site. Our approach is aligned with the EU General Data Protection Regulation (GDPR, Regulation 2016/679), Monaco's Law 1.565 on personal data protection, and the EU AI Act where applicable to our services.
1. Data we collect
We collect only what is necessary to respond to enquiries and deliver engagements:
- Contact form data: name, organisation, role, email, phone / WhatsApp, sector, engagement interest, message content.
- Technical data: basic server logs (IP address, user agent, timestamp) for security and fraud prevention.
- Engagement data: when we work together, we process the information you share under NDA in the scope agreed.
We do not use third-party advertising pixels. Analytics cookies (if enabled) run only with your explicit consent via the cookie banner.
2. Legal basis
- Consent (Art. 6(1)(a) GDPR) — for optional analytics cookies and, where applicable, marketing communications.
- Contract / pre-contract (Art. 6(1)(b) GDPR) — to respond to enquiries and deliver engagements.
- Legitimate interests (Art. 6(1)(f) GDPR) — for security logging and to operate the site.
- Legal obligation (Art. 6(1)(c) GDPR) — where retention is required by Monaco or EU law.
3. How we use your data
- To respond to enquiries submitted via the contact form.
- To schedule discovery calls, meetings and follow-ups.
- To deliver engagements agreed with you or your organisation.

4. Sharing with third parties

- Technical service providers processing data on our behalf under documented data-processing agreements (e.g. form submission, email delivery, hosting — EU region where feasible).
- Specialist delivery teams allocated to a specific engagement only where you have commissioned a scope that involves them, under NDA and DPA. Partner identities are disclosed to the client before any data sharing occurs.
- Competent authorities, where disclosure is required by law.
We do not sell personal data.
5. Transfers outside the EEA
Where technical providers are located outside the EEA, transfers are governed by Standard Contractual Clauses (SCCs) or equivalent safeguards. We prioritise EU-region infrastructure.
6. Retention
- Enquiry data: up to 24 months after last contact, unless a client relationship is established.
- Client engagement data: duration of the engagement plus applicable statutory retention.
- Security logs: up to 12 months.
7. Your rights
Under GDPR and Monaco Law 1.565 you may exercise the rights of access, rectification, erasure, restriction, portability, objection, and withdrawal of consent at any time, by writing to contact@fides-ai.com. You may also lodge a complaint with the Monaco CCIN (Commission de Contrôle des Informations Nominatives) or, where applicable, your local EU supervisory authority.

Our site uses essential cookies (for session state and consent preferences) and, with your consent, a minimal set of analytics cookies. You can update your preferences at any time via the "Cookie Preferences" link in the footer.
9. Security
We apply appropriate technical and organisational measures to protect personal data — including encrypted transport, access controls and professional confidentiality obligations across our team and partners.
